Suppliers pointing at one another

A door no longer opens on a fire alarm. The access control firm says it is down to the fire alarm system. The fire alarm firm points to the electrician. Meanwhile the door is still shut. With integrated management there is one party that takes ownership of the fault, regardless of which system is the cause.

Expired certificates nobody remembered

A maintenance certificate for a fire alarm system, or a VEB certificate for intruder detection, quietly expires. VEB is the Dutch accreditation held by recognised security installers. You only find out when the insurer asks for it or the fire service calls round. We monitor every expiry date and schedule re-inspection well in advance, so you never fall out of compliance.

Impenetrable technical reports

You receive an inspection report full of abbreviations, standard numbers and assessment codes. Is it urgent or not, and what will it cost to resolve? We deliver our reports in plain language, with a clear distinction between immediate actions, recommended work and future replacements. You can see at a glance what takes priority.

Fragmented maintenance visits

Three different engineers call round in three different weeks for the same floor. Every visit means escorting, issuing keys and opening up rooms. Integrated management is about control and predictability. These six pillars form the core of our service and are set out in black and white in your management agreement.

A fixed account team

You work with a fixed account manager and fixed engineers who know your buildings. No constantly changing faces, but people who know which door sticks and which detector sits in the loft.

A central maintenance calendar

All mandatory and preventive maintenance rounds are scheduled in a single calendar. You receive notice beforehand and a completion report afterwards. You can see for each system when the next service is due.

One fault number

When a fault occurs you call one number that is reachable day and night. We triage immediately, send an engineer if required and keep you informed. You never have to work out yourself who is responsible for what.

Complete certification management

We monitor all inspection and maintenance certificates, schedule re-inspections in good time and supply the documents digitally. In the event of an audit, fire service check or insurance review, you have everything to hand at once.

A fixed annual budget

All maintenance, fault management and certification are bundled into one annual fee. You are invoiced once per period and gain a multi-year view of replacements, so that your investment plan never holds any surprises.

Transparent reporting

Each quarter you receive a report covering work carried out, job sheets, outstanding items and recommendations. All in readable language, including prioritisation and indicative costs.

Two contract types, you choose what fits your organisation

Not every organisation manages costs in the same way. One facility manager wants to know to the euro, in advance, what security will cost this year; another prefers to be billed on actual work and to retain flexibility. We therefore offer two contract types for integrated management, both with the same fixed account manager and the same quality of service.

All-in integrated management

One fixed annual fee in which all costs are included.

With the all-in option, maintenance, inspections, certification, fault resolution and replacements within the agreed scope are fully included in the annual fee. You know exactly how much goes to security each month and, when a fault or defective component arises, you do not have to wait for a separate quotation. Ideal for organisations that put cost certainty and administrative simplicity above all else.

Flexible alternative

Service contract

A fixed fee for maintenance, with faults and replacements charged on actual work.

With the service contract you pay a fixed base fee for regular maintenance, inspections and certification. Faults and replacements are charged on the basis of actual work, at hourly and material rates agreed in advance. Suited to organisations with installations in good condition that value a lower base fee over complete cost certainty.

During the quotation stage we cost out both options for you on the basis of the condition of your installations and the response times you require. That way you can see in advance which form works out best for your organisation, financially and operationally.

Under one roof

All your security technology, a single point of contact

Integrated management bundles the full spectrum of security and fire-safety technology. We also take over installations originally supplied by other parties, provided they are in good condition. During the survey we set the scope together and you gain a clear picture of what comes under management.

Fire alarm systems

Maintenance and management in line with NEN 2654-1, the Dutch standard for managing fire alarm systems, including annual inspection, certification management and transmission to the alarm receiving centre (ARC).

Evacuation alarm systems

Periodic checks in line with NEN 2575 and 2654-1, the Dutch standards for evacuation alarms and their management, with slow-whoop testing and verification of voice announcements.

Intruder detection systems

Maintenance in line with VEB and the VRKI risk classification, with connection to our alarm receiving centre (ARC) and 24/7 response. VEB is the Dutch accreditation held by recognised security installers.

CCTV systems

Checks on image quality, retention period and GDPR settings. Firmware updates and replacement advice at end of life.

Access control

Management of Paxton or Vanderbilt SPC platforms, card administration support, authorisation structure and software maintenance.

Emergency lighting

Periodic inspection in line with NEN-EN 1838 and 50172, the European standards for emergency lighting, with luminaires tested for autonomy and pictograms checked.

Extinguishers

REOB maintenance of portable extinguishers and hose reels in line with NEN 2559 and NEN-EN 671-3, the Dutch and European standards for fire extinguishers, including inspection labels. REOB is the Dutch certification scheme for fire-extinguisher servicing.

Alarm receiving centre & response

Connection to our alarm receiving centre (ARC) with video verification and alarm response by mobile patrol or police.

From first conversation to full oversight

The move to integrated management is structured and causes no disruption to your organisation. We take over the supplier relationships step by step and maintain continuity across all systems during the transition. In day-to-day operation you barely notice a thing.

The whole process is geared towards a soft-landing handover. We also take on the conversations with existing suppliers, request the documentation and arrange the transfer of certificates and records. That way you do not have to go through five separate parting rounds.

Frequently asked questions about integrated management

In principle, all security and fire-safety installations. Fire alarm systems, evacuation alarm systems, intruder detection, CCTV systems, access control, emergency lighting, portable extinguishers and fire hose reels. We also include the connection to the alarm receiving centre (ARC) and the video verification. Installations not supplied by us, but in good condition, can likewise be brought under management. During the inventory we set the precise scope together.

That is in fact one of the reasons integrated management exists. You do not need to be a specialist in fire safety, electrical engineering or networks. We are your interpreter. Our account manager discusses with you, in plain language, what is going on, what choices you can make and what impact they have on costs and continuity. As for the technology, you only need to know who to turn to, and that is us.

Yes, provided the installation is in good condition and meets the applicable standards. During the survey we assess whether the system is suitable for maintenance by us. If there are shortcomings, we discuss in advance what work is needed to bring the installation up to standard. For brands we know well, such as Paxton, Vanderbilt, Aritech, Advisor, Bosch, Hertek and Ziton, we can take over directly in almost all cases.

We do. After the management agreement is signed, we contact your current suppliers, request records, certificates and drawings and arrange the handover. Where contracts are still running, we align the takeover with their term. You do not have to hold any difficult conversations or write any termination letters yourself.

You call one fault number that is reachable 24 hours a day, seven days a week. Our on-call engineer takes up your report straight away, assesses the urgency and takes the next step. For critical faults we send out an engineer within the contractual response time. For non-critical faults we schedule the next working day. You always receive feedback on what happened and how it was resolved.

We monitor all maintenance and inspection certificates in our management file. We arrange statutory inspections via an accredited inspection body (CCV scheme, the Dutch certification framework), including scheduling. Interim maintenance we carry out ourselves in line with NEN 2654-1, the Dutch standard for managing fire alarm systems. You always have the current certificate available digitally, so that in the event of an inspection or insurance query you can supply it at once.

The fee is always tailored and depends on the number and type of installations, the size of your building or portfolio, the response times you require and whether or not you want a connection to the alarm receiving centre (ARC). In practice we see that, after switching, clients save on average between 10 and 20 per cent on their total security costs. That comes from lower call-out charges, more efficient scheduling and the elimination of penalties for expired certificates. After a survey you receive a clear proposal with a fixed annual fee.

We work with two options. In the all-in integrated management option, maintenance, inspections, certification, fault resolution and replacements within the agreed scope are fully included in a fixed annual fee. You know in advance, to the euro, what security costs you and you receive no separate invoices for fault visits or defective components. The alternative service contract option works with a lower fixed base fee for maintenance, inspections and certification, with faults and replacements charged on the basis of agreed hourly and material rates. Which form is favourable for you depends on the condition of your installations, the response times you require and how your organisation approaches budgeting. We cost out both options in the quotation so that you can make a choice based on figures.

As standard, we conclude management agreements for three years. After that the contract continues automatically on a yearly basis, with a notice period of three months. For multi-year investment plans we are happy to work with longer terms, for example five years, in return for more favourable conditions. We choose together what suits your organisation.

The agreement is flexible. For expansions, refurbishments or new sites we add the new systems to the management and adjust the fee proportionately. For downsizing or relocation we adjust the scope. We charge fairly per installation, so that you never pay for security you no longer have.
